Forms of strict accountability, damaged in the process of work or poorly printed in the printing house, cannot be simply thrown away. They should be carefully crossed out diagonally and stored in a metal safe.
Instructions
Step 1
Damaged or incomplete strict reporting forms should be stored for five years. After this period, organize an inventory of the forms, which should confirm the actual presence of damaged or unused documents that are no longer needed for objective reasons. Such reasons may be, for example, the indication on receipts, insurance policies, forms of invoices for hotels and other forms of the old legal address of the organization. In the process of inventory, set the exact number of forms for writing off, their numbers, identify the cause of damage to the document. The spines remaining from tear-off forms issued by the organization in the course of its activities are also subject to inspection.
Step 2
A month after the inventory, collect a commission for the destruction of strict reporting forms. The commission must check all used and damaged forms, their number and, based on the work done, draw up an act of write-off and destruction.
Step 3
The form of the SSO write-off act is developed directly at the institution. Assign a number to the act, list the materially responsible person, indicate the name of the organization. Start the text of the act by listing the members of the commission, indicating their names and surnames, positions held. Next, draw up a table, in the first column of which indicate the number of the form, in the second - the reason for the destruction, and in the third - the date of write-off. Indicate in figures and in words the number of forms to be destroyed, collect the signatures of all members of the commission, decipher these signatures, put the date at the end of the act.
Step 4
On the basis of the signed act, destroy the strict accountability forms. Destruction means the physical destruction of the paper carrier on which the form is printed, without the possibility of recovery. Pass the written off documents through a shredder or burn them.
