Accounting documents and cash registers, protocols and charters, accounting books must be printed and stored on paper. At the same time, they must be stapled so that the pages do not get mixed up in the documents, are not lost or confiscated. For this purpose, they are stitched. With harsh threads. If a document or book is being sewn, the thread is additionally sealed with a sticker and certified by the seal.
Preparing for stapling and stapling documents
Prepare sheets of documents or books for sewing. Prepare a needle and harsh thread. You may need a hole punch, stationery glue, sticker (paper 4 x 6 cm) and printing. Next, prepare the documents to be filed. Arrange the sheets correctly, check if they are folded in the right order. If several sheets are sewn together, it is enough to pierce with a needle. Draw a strictly vertical line at the place of the stitching, mark 3 points symmetrically in the center, between which are strictly 3 cm, and you can hem. If the document is particularly important, you can make five holes for the binding at 3 cm intervals. You can make the holes with a hole punch.
For accounting documents that need to be filed in thick bundles, you can use two options. Pierce in parts and advance along the thread. Or make a puncture with a thick long nail and a hammer. Number the pages from cover to cover before stitching a logbook of anything. Next, use a nail and hammer to pierce the holes. Or pierce with an awl.
How and how to staple documents
You can stitch documents in several sheets with ordinary threads, but it is better to choose stitching threads (harsh thread). It is better to stitch bundles of bank documents with bank twine. Magazines are a harsh thread, because the magazine is fastened by itself, and the thread is needed to ensure that the sheets will not be torn.
The income and expense book must be numbered and stitched. On the last page, the data on the book are indicated and the signatures and seals (if any) of the entrepreneur and the tax representative are put.
Better to stitch documents twice for reliability. The correct version of the stitching is when the thread starts from the back of the document and the rest of the thread after the stitching is displayed there. How many centimeters of thread should you leave on the back? 5-7 centimeters. Then it is convenient to tie the thread with a knot. The ends of the threads should be approximately equal for subsequent gluing.
Making a bound document
What to do with accounting documents after stitching? Can be sent to a closet or archive. Work with them on the firmware is completed. But important documents, for example, protocols, need to be prepared further. For this, a thin paper sticker is being prepared. The following text is printed on it in advance: "Stitched, numbered, signed and stamped with N sheets." N - the number of sheets, indicated in words and numbers. Next comes the position of the head, the name of the organization, the actual signature and seal. The text, of course, is printed in advance, and the signature and seal is put later.
The book of records and income, which was kept in electronic form, is printed out at the end of the reporting period, the printouts are stitched together and certified by the entrepreneur and the representative of the tax authority.
The sticker is placed on the back of the document so that it covers the knot of threads and part of the threads. The ends of the threads are brought out of the sticker and glued with office glue over the entire surface of the sticker. Only now it is possible to sign by the head and put the seal. The magazines are subjected to the same procedure with the sticker.
