When an organization accumulates documentation that requires short-term or long-term storage, it is necessary to organize it and staple folders with soft or hard cover. Each specific case may have its own requirements for the design of the archive and the sequence of work, since there are no strict legislative standards in this area. However, it defines the basic principles that experienced clerks usually adhere to.

Instructions

Step 1

After examining the value of the documentation, number it by placing a serial number (in chronological order) in the upper right corner of each sheet with a black lead pencil. Start with the first reversal; the title list of the documents contained and the last page do not need to be numbered. Make sure that the numbers do not go into the text.

Step 2

Make two pairs of holes with a special clerical awl in the middle of the left margin of each document. To prevent the stack of papers from falling apart, secure it in a clamp. As a rule, clerks place holes in a vertical line, leaving at least 3 cm between each hole. If the sheet has a narrow margin, you can glue a white strip to the edge.

Step 3

Use a special machine for flashing documentation (UPD). This will significantly reduce your work, since with this device you can pierce a stack of documents 10 cm thick at a time. Carefully read the instructions and work carefully - the drill gets very hot.

Step 4

Start sewing the folder using a special bank twine or strong nylon thread and a sewing needle. Flash the archive two times for a secure commit. Pull the loose "tails" of the cord (about 5-6 cm) through the middle hole on the seamy side of the "book" and make a strong knot.

Step 5

Cut a circle (about 4 cm in diameter) out of thick white paper and glue the knot with it. Use regular stationery glue. Grab the sticker with a seal, affix the certification signature and date under it. If the folder has already been laced up without a confirmation page, then it is permissible to paste it on the inside of the cover.

Step 6

Slip the laced folder into a special cover or bind documents with a machine. For a long-term archive, it is recommended to choose a hard cover, in other cases cardboard "clothes" or from thick coated paper are also suitable. In any case, it should be a business printing product, designed in accordance with the corporate style.
