Step 1
The information contained in the filing cabinet must be easily accessible, regardless of the size of the data storage. Therefore, break the entire volume into blocks, for example, alphabetically or by date. This will help you find the information you need (card) in a short time.

All records in the file must be neat. For example, if the names are written by hand, they should be clear, without blots, because this will make it difficult to find the information you need.

The file should be stored in a designated place, for example, in a rack. The boxes must match the size of the cards. Be sure to make an inventory of the content, so you don't have to constantly flip through unnecessary data. As the data is replenished, enter the information into the inventory.

Search signs contained in the elements of the card index (cards, files, etc.) must be strictly systematized. For example, if this is a card index for flowers, the search signs ("keys") in all elements must be displayed in the same way. To do this, create a "skeleton" of the search element.

Let's say you want to draw up a card index of your flowers. They all have different characteristics, but they consist of a number of identical elements: inflorescence, stem, leaf, root, etc. Accordingly, all these elements must be contained in the "skeleton". For example, the name is "Sunflower", the shape of the inflorescence is "Round", the color is "Yellow", etc.

Any collection of data should be accompanied by a "Search Criteria List". In an archive made up of ordinary cards, it can be a text document; for a virtual archive form - a drop-down list from which the user will select the sign he needs. If you keep an electronic filing cabinet, be sure to create a take on a removable disk, because the hard disk can burn out at any time.
